Postdoctoral Scholar Hires

  • Competitive Search: Postdoctoral Scholar hires do not require a competitive search process.
  • Appointment Duration: Eligible for multi-year appointments.

Artist in Residence Hires

  • Recruitment Flexibility: Artist in Residence positions can be filled either through a competitive recruitment process or without one.
  • Without Recruitment: If hired without a competitive search, these appointments are limited to annual appointments and do not allow for promotion.

Postdoctoral Scholars and Artists in Residence (regardless of recruitment type) are hired into a unit's regular Position Management (PM) supervisory organizations. PM organizations are characterized by the absence of a JM_Academic or JM_Student designation.

If either title is competitively recruited, the recruitment must go through Interfolio.

1. Create a New Position

🔹 Action: Create a new position in Workday for the new hire.

2. Draft an Offer Letter

Important: There is defined union language required for postdoc offers. Refer to the APF offer template for the appropriate language.

🔹 Background Check Requirement: If the position will or may have unsupervised access to children under sixteen, developmentally disabled adults, or other vulnerable populations, or is security/safety sensitive, follow provisions of the Washington State Child and Adult Abuse Information Law by ensuring that the successful candidate is aware that their employment is contingent upon successfully passing a background check.  For more information, refer to the APF web page.

3. Send the Offer Letter

🔹 Action: Send the approved offer letter to the candidate.

🔹 Legal Requirement:

  • Federal law mandates all employers to verify and document citizenship and employment eligibility using Form I-9 (Employment Eligibility Verification).
  • The employing unit must inform applicants of this requirement.

4. Hire the Candidate

🔹 Action: Hire the successful candidate into the position created in Step 1.

🔹 Documentation: Attach all required documents to the business process. If you are unsure of the documentation required, consult the APF Titles & Ranks page.

For AST Payroll Supported Units:
If your unit's payroll is managed by the Administrative Support Team (AST), submit all necessary documents and details to them for processing.
