A letter responding to a faculty member's competitive offer must be approved by Ivy Mason-Sharrah in the Dean's Office before it is sent.

This is a sample response.

Dear ___:

In recognition both of your value to the University and the recruitment by other institutions, the Dean has authorized me to make the following offer to you.  Currently your annual salary is $___ ($___ per month for ___ months).  Effective [date][1], we will increase your annual salary to $___ ($___ per month for ___ months).  Note that this figure includes any increases that may be authorized through June 30, [year][2]. This offer is contingent upon Provost approval.

It is a condition of acceptance of this offer that you withdraw immediately from any searches at other institutions in which you are currently a candidate.  I should also remind you that it is University policy not to extend any counteroffer or pre-emptive offer for a period of three years from the effective date of the new salary.

You are a greatly valued colleague.  I sincerely hope that this offer will convince you to stay with us at the University of Washington.  I look forward to receiving your written response to this offer by ___.

[1] The effective date should be within 30 days of the offer, should be the first day of a given month, and must align with the date outlined on the retention form approved by the Provost.

[2] This date should align with the end of the academic year preceding the September following the retention increase.  For example, if a faculty member is given a retention effective November 1, 2023, they may be precluded from the September 2024 merit cycle – that would make the date here June 30, 2025.
