Event Conceptualization

Successful events are thoughtful and engaging. There are five important questions to ask when creating the event concept:

  1. Why is the event being held?
  2. Who are the event's stakeholders?
  3. When is the event taking place?
  4. Where will the event be staged?
  5. What is the event content or product?

Event planning should begin at least 10-12 weeks in advance of your invite send date. Reference this online lead time calculator to help you determine when your event should occur.

The College of Arts & Sciences strives to make events as accessible as possible for our guests. In the spirit of proactively providing accessibility information when we promote events, we have provided the text below. Please choose the text most pertinent to your event format and include these details in your event invitations, on your event registration web page, and in confirmation emails to attendees so that they are empowered to ask questions and pursue any accommodations they may need in order to attend your event.

Virtual Events

We strive to host inclusive, accessible events that enable all individuals to engage fully.

For interpreting, captioning, amplification services, and TTYs: contact the Coordinator of Deaf and Hard of Hearing Services via email or at 206.543.1415, 206.543.6452 (TTY), preferably at least 10 days in advance of the event.

In Person/Hybrid Events 

We strive to host inclusive, accessible events that enable all individuals to engage fully.  

ADA Parking

Since 2019, UW has been working on a comprehensive ADA transition plan to "create environments that are welcoming and accessible to all". As part of that work, 43 parking lots on the Seattle campus have recently been remediated to be ADA compliant, including the following lots used frequently by the College of Arts & Sciences.

ADA compliant parking options for College of Arts & Sciences events:

  • N1: 6 stalls that serve The Burke Museum and Gates Hall
  • N22: 26 stalls that serve HUB, Hall Health, Thompson, Communications, and Padelford
  • Central Plaza Garage (C1-C6): 39 stalls that serve Kane, Suzzallo, Gerberding, Meany, Henry Art, Odegaard
    • C1: 12 stalls ‐ dispersed between exits/entrances to Meany Studio Theatre (2), Odegaard (2) and Kane Hall (8)
    • C2: 3 stalls ‐ located near 15th Avenue exit/entrance
    • C3: 12 stalls ‐ dispersed between exits/entrances to Meany Theatre (7), Odegaard (2) and Kane Hall (3)
    • C4: 4 stalls ‐ located near exit/entrance to Henry Art Gallery
    • C5: 4 stalls ‐ dispersed between exits/entrances to Odegaard (1) and Kane Hall (3)
    • C6: 4 stalls – located near exit/entrance to Henry Art Gallery
  • N3 (opening summer 2022): 6 stalls that serve Founders, Dempsey, Art, Hutchinson, Oak, Denny Field

Meany Hall Events 

We strive to host inclusive, accessible events that enable all individuals to engage fully.

Because our seating is not pre-assigned, patrons who need seating accommodation should let us know in advance so that we can hold appropriate seats. If you cannot traverse stairs or need any other type of accommodation, please contact the ticket office via email or by phone at 206-543-4880. We can accommodate your request most effectively if it is received at least 10 days prior to the date you plan to attend.

OUR CARE COMMITMENT: Your health and safety, along with that of our staff, students and community, remain our primary concerns. As we reopen, Meany Hall is committed to making your experience the best it can be.
