Event coordination involves dynamic attention to detail and organization. Utilize our templates (below) to help track and execute the various moving parts of your event.
Promoting Your Event
Back to Top- Trumba is the College’s preferred platform for uploading event information. The College has a centralized Event Calendar that acts as a hub for all departmental Trumba calendars. When you upload your event to your unit’s Trumba calendar, it’s also uploaded to the general A&S calendar!
- ArtSci Roundup is a curated list of online resources and events/engagements relating to the College of Arts & Sciences. The Roundup is featured every Monday in UWToday, hosted by UWNews.
- The College’s Marketing team creates this Roundup based on submissions to PIFs and events that are found on the A&S Event Calendar. If you have an event coming up, make sure to submit a PIF or post your event online via Trumba to ensure promotion.
- Project Inquiry Form (PIF) is a tool that MarComm utilizes to track various requests across the College including marketing material requests, Marketo email creation, attendee list creation, and other event logistics. Submit a PIF at least 8 weeks ahead of the day your invites should go out. (The more lead time, the better!)
After the Event
Back to TopDon’t forget to document your event process with a post-event evaluation. This will help your unit (and unit partners) determine what worked well and what needs improvement for next time.
Post-event surveys are an excellent tool that you should consider to help gauge your attendees’ satisfaction. That said, it’s important to only ask your attendees for their feedback if you actually plan to act on what you receive. It can be damaging to a relationship to ask for feedback and then essentially ignore it.
Activity codes are an important event tool that help UW better understand donor and alumni interest. Be sure to submit Activity Code requests via this form for every event that you host: https://help.ua.uw.edu/support/catalog/items/37
