Unit Gift Funds

Advancement Services has developed a set of reports of CAS units’ gift funds as shown in Workday. These help you see what worktags your gift dollars reside in, as well as understand the associated Tandem records (stemming from Advancement's systems), which allows you to broadly see fund restrictions and purposes. 

Please note that VPN login via Husky OnNet is required. We have limited initial viewing access to Unit Administrators, who will be able to view only their own units’ funds. If you need to get yourself (or someone else in your department) access or are seeing the wrong units, please reach out to our team at casadser@uw.edu.

These are direct download links, so you should see new *.csv file download prompts. When manipulating these files, don't forget to save these as Excel files (e.g. *.xlsx) in order to avoid losing any formatting changes.

 

Workday/Tandem Unit Gift Fund Crosswalk (csv table format)

This report associates gift worktags to their primary associated Tandem record from Advancement's systems. This should assist with understanding what the fund is for, since Advancement's system (Tandem) is the primary repository of knowledge/context around fund purposes.

  • This rolls up expendable balances by gift tag although in reality, money may be subdivided by program tag, resource tag, etc. Use R1252.1 or our custom Balances by Worktag report (below) to see how money is split across other worktags.
  • Provided "unverified" descriptions are based off of the description field in Tandem, which may not always contain all relevant restriction information. Please refer to Tandem and any available documentation for these, and reach out to our team if you're unsure. If the description does not show "unverified", our team has manually reviewed the documentation, and the provided description should more closely capture all relevant restrictions and parameters for you. Our hope is to eventually provide "verified" descriptions for all of our funds.
  • Projected 4-qtr endowment income is based on the most recent posted quarterly distributions, calculated assuming no market volatility.
  • Please note that all gift dollars should typically have associated gift tags, so we know what their parameters are. Reach out to Advancement Services if you have questions around these.

 

Balances by Worktag report (csv table format)

This report provides a simple table form of all of your expendable gift resource dollars, by worktag (e.g. cost center, gift, program, resource, function, etc.). This is similar to running R1252.1 (Expendable Gift Activity Summary with Balance - for Extract); you can run that Workday report by your CCH08.

  • Please note that gift dollars without gift tags are highly likely to be erroneous in nature. Gift tags define how the dollars may be spent, so we need to understand what gift tag is associated with those dollars. Reach out to Advancement Services for help with these. Note that these were often placed into resource codes RS100375 and RS100376.
  • You may have dollars in the same gift worktag that have differing program, resource, fund, and function tags. This report may assist you with consolidating dollars within the same gift tag. If you suspect new incoming money (whether new gifts or endowment distributions) is getting tagged incorrectly, please contact us.

 

    FY24-29 Endowment Distribution Projections (csv table format) 

    This report shows you how endowment distributions landed in the most recent quarter, and extrapolates forward what likely future annual distributions look like. We have the ability to do this since distributions are based off of 5yr historical data, which we can use to project outwards. With each passing quarter, estimates will become less certain. 

    • This assumes no further giving (e.g. from planned gifts), since that level of projection is difficult for us to do.
    • This does not factor in any market growth/decline. 
    • You may have endowments that are autoreinvesting into the principal, and those amounts are excluded from these projections. We are expecting a future Workday report to assist us with identifying these, so you can confirm if you want to maintain those autoreinvestments.
